Buying a Vision System: 7 Points to Clarify Before You Invest

The purchase price is only part of the investment. Seven points that should be firmly clarified before ordering a vision system.

An economical investment concept for industrial image processing considers not only the acquisition costs of camera and software licences, but the total cost of ownership (TCO). Clarifying environmental conditions, interfaces, integration responsibility and future variant maintenance protects against massive budget overruns.

The commercial and technical checklist before procurement

Avoid vague phrasing such as “the surface must be inspected for defects”. Seven points should be clarified before every investment decision:

  • 1. Representativeness of the feasibility test: Was the system tested beforehand with real series parts? A lab setup is only as good as the borderline samples, real batch variation and real defect patterns it accounts for.
  • 2. Real production and environmental conditions: Ambient light in the hall, process-related vibrations, oil mist, dust or extreme temperature fluctuations must not affect the measurement result. The hardware must match the appropriate protection rating (e.g. IP65/IP67).
  • 3. Definition of integration interfaces: Who takes on the engineering for the mechanical mount, electrical protection and PLC connection? Unclear responsibilities between the end customer, machine builder and vision supplier are the number one risk for project delays.
  • 4. Scalability for product changes: How flexibly can new product variants be added? Can the operating staff independently teach in new recipes (e.g. via an intuitive HMI), or must the manufacturer be brought in, at a cost, for every change?
  • 5. Acceptance criteria and statistical requirements: Which tolerances and MSA capabilities (e.g. Cgk ≥ 1.33) are contractually owed? Acceptance conditions must be fixed before ordering.
  • 6. Transparent total cost of ownership (TCO): What follow-on costs arise from annual software licences, support hotlines, mandatory updates, wear parts (e.g. LED lighting in continuous operation) and training?
  • 7. Responsibility for the overall system: Is a mere collection of components being procured, or a turnkey overall system? In the event of malfunctions during operation, a single, responsible system partner protects against suppliers blaming each other.

Smart camera versus PC-based overall system

For simple, isolated inspection tasks (e.g. presence check of a part), a compact smart camera is often the most economical solution. However, as soon as complex surface inspections, synchronous evaluation of multiple cameras, extremely high computing power for AI models, or a combination of metrology and defect detection are required, smart cameras reach their limits.
